Fine Third Edition and Fourth Will Be Better
As co-author I have found the MANAGEMENT text for the CERTIFIED PROFESSIONAL SECRETARY EXAMINATION REVIEW SERIES, published by Prentice Hall to be helpful for college students and office professionals who are not necessarily seeking CPS certification. The fourth edition is being published now and should be out within a few weeks.

Excellent progress is being made in updating the fourth edition to include management tips related to electronic communication, e-commerce, and other technological developments. Key business and management concepts are covered in a friendly, understandable manner in both editions.

I have used these chapters with my college students, especially those on leadership, conflict management, and organizational behavior. This is a very useful book to have as a supplement but is not designed as a replacement for excellent management and organizational behavior principles texts written by many authors.

Secretaries, students, and administrative assistants who haven't considered seeking the CPS rating might do so. The three-part examination is administered two times a year, November and May, at various sites throughout the country as well as in overseas education centers.

I am thrilled to have worked with Dr. Betty Schroeder, Northern Illinois University on the Management book. Dr. Schroeder is the series editor and Office Systems and Administration, Finance and Business Law, and Management)published by Prentice Hall and endorsed by the International Association for Administrative Professionals, formerly Professional Secretaries International. Dr. Schroeder is a delightful co-author and superb editor.

Many of my college students and associates have sugested that Management be placed in libraries and other public places. The text is an excellent reference to consult for varied management issues.

Lifesaver!
Take it from someone who hates Economics, this CD is a lifesaver! I had a required Macroeconomics class last semester. As I was afraid of, I was struggling in the class right from the beginning. The prof's only office hours were during times that I had other classes going on, so I couldn't get any extra help from him. I tried a tutor, but his explanations didn't make any more sense the the prof's. Then a friend who'd already taken the class told me about this Cogito Learning Media CD that she had used. I bought a copy and went straight to the topics that I hadn't been able to understand. It made a world of difference! Finally, it was explained to me in a way that was understandable and even interesting. This CD became my best friend during that class. I don't know what I would have done without it!

A MUST for Economics majors!
For anyone who wants to learn, and really understand, the principles of Microeconomics, this electronic companion software is an absolute must.

As an Economics major several years ago in college, I picked up the software on the recommendation of a past professor. My intention was to bone up on the basic concepts to better prepare for my pursuit of an MBA. What I found was an outstanding product that not only refreshed my memory of Economics, but taught me things I never knew before.

The difference is the product's use of mulitimedia to convey the information. Whereas I would toil over a textbook for hours during my college days, trying to comprehend a particular concept; this software illustrates the concepts using graphics, voice-overs, video, etc. that bring everything to life. Otherwise totally abstract ideas actually make sense. And it is done in such a way that the software is enjoyable to use.

I wish I would have had a tool like this while I was in college. For those studying Microeconomics, this is a tool you simply can't do without.

The Test Yourself series from NTC Learning Works is great!
As an educator, I find that the practice questions provided in the Test Yourself series are an excellent way to study for a test. Practice before "the real thing" helps students focus on the areas where they are weak. These books also help eliviate the stress involved in test taking. Who knows, maybe your teacher has a copy of one of these books and is using it to make up the test questions. ;-)

Payables Test Set for ACL

Enhance you Exception Reporting
I have worked as an operating CFO and division controller for large divisions of several Fortune 100 companies for over 15 years. Today my focus is on recovery auditing, mainly in the accounts payable area, as it is the most fruitful area for savings in an organization.

In my years of experience I have found that increased use of regular exception reporting on the integrity of transactions offers the best assurance that the reporting is accurate and that no "surprises" are lurking in the records. ACL software has become an invaluable tool to me for this use. I have monthly and quarterly exception reporting routines established. The reports provide me with areas of potential concern for further drill down analysis. The great thing about this routine is that it helps me to: (1) spot erroneous transactions that were merely keyed incorrectly; (2) enhance the profitability of our business; and (3) highlight areas of potential fraud for my review.

ACL Software offers numerous standardized tests that can be used with some training and development on your part. I have spent some time developing my own routines. But I don't have time to develop all the routines I want to use. It is just not the best use of my time. My company has purchased several "bolt-on" applications to work with ACL. These applications allow for quick start-up and they bring the expertise of the developer immediately to your tool box. Essentially, I have tools similar to those used by either our internal or external auditors. But I don't have to go through the extra efforts to compile the reports on an annual basis. I can see the results monthly and head off any problems that may be developing.

One such inexpensive bolt-on that I use consistently is the Payables Test Set for ACL by Richard B. Lanza. The bolt-on to ACL is only $200 and for that I get:
•All of the pre-written scripts (a.k.a. batches) in ACL;
•A menu system in ACL to easily select the script I desire; and
•A book to walk me through an entire audit of accounts payable with descriptions of each script. The script descriptions not only tell me what data to get and how the script will run but also why I should use it in an audit and what to do with the results.

The routines and exception reports provided in the test set allow me to easily check numerous areas. Below are my top reports (although the Payables Test Set provides over 30):

1)Test that we are maximizing vendor discounts. The reports highlight vendors that may be getting favorable treatment by our accounts payable staff.
2)Check for potential duplicate payments to vendors.
3)Test to see if we can maximize volume purchase by viewing vendor activity across department and location boundaries.
4)Confirm vendor invoiced terms versus our negotiated/P.O. terms.
5)Assure proper authorization of payments.
6)Monitor input activity by AP operator.
7)Summarize debit memos to review for adjustments to the sub-ledger and identify potential unknown liabilities if the debit memo is no longer valid.
8)Identify any payments made to vendors that do not currently exist, or never existed, in the vendor master-file. I know, you think this can't happen. Well, it can.
9)Check payroll address information against vendor address information for any similar addresses. This routine is exceptional. It does not just look for exact matches. It looks for similarities. If you have a fraudster in your organization, they may try to send vendor payments to a name or address similar to their own. This routine will flag it for your review.

In summary, I strongly recommend the use of automated analytic review of your company's transactions. The power of ACL combined with the Payables Test Set is a valuable component in this mix. In relation to reports sold by software vendors costing tens to hundreds of thousands of dollars, the Payables Test Set provides an inexpensive and "out of the box" solution, even for the less experienced ACL user. While such bolt-on reports are never a substitute for the auditor's creative mind, they do assist in jump-starting an audit and ensuring the basics are covered right out of the gate... all for under the cost of a good departmental lunch!

Practical Issues in Employment Testing
Published in Paperback by Psychological Assessment Resources (July, 1993)
Author: Robert G., Ph.D. Rose
Amazon base price: $32.00
Average review score:

Excellent book for those interested in hiring successfully
Having come from an environment where employment testing was considered but a step above the Black Arts (and had hemorragic turnover) I was looking for a book that clearly defined the value, risks, and justifications for testing. Dr. Rose does a consumate job of presenting testing as a critical aspect of the hiring process. Turnover is at an all time high across most industries and finding the right people to fill vacant positions has become a very risky business. "Practical Issues" can be used as a powerful tool by HR managers and Administrative Team leaders to arm themselves with the tools to successfully do battle with testing sceptics in their upper echelons. Dr. Rose presents a clear, concise picture of the real issues and advantages in testing in an easy to read enjoyable format. I highly recommend "Practical Issues in Employment Testing" to anyone that is tired of the old hiring game of chance and wants to learn how to choose a testing format, allay validity concerns, use testing to maximum benefit and finally move up to a better method of selection.
